Information we collect

• Account information — name, email address, organization, and role.
• Operational data you enter — work orders, assets, inventory, customers, quality records, and related content.
• Usage and device data — log data, IP address, and browser information used to operate and secure the Service.
• Connected mailbox data — when you connect a Google (Gmail) or Microsoft (Outlook) mailbox, we access the data needed to send and process messages on your behalf (see below).

How we use information

We use information to provide, maintain, secure, and improve the Service; to send service communications (such as quotes, surveys, and reports you initiate); and to comply with legal obligations. We do not sell your personal information.

Google user data & Limited Use

When you sign in with Google or connect a Gmail mailbox, Praevora requests only the scopes needed for the features you use:

• Profile & email (userinfo.profile, userinfo.email) — to create and identify your account.
• Google Calendar events (calendar.events) — to create and manage the maintenance and scheduling events you choose to sync.
• Gmail — read (gmail.readonly) — to ingest and process incoming service-related email into the platform.
• Gmail — send (gmail.send) — to send messages you initiate (quotes, surveys, and service reports) from your connected mailbox on your behalf.

We access, use, and store this data solely to provide and improve these user-facing features.

Praevora's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically, we do not use Google user data for advertising, we do not sell it, we do not transfer it except as necessary to provide the Service or as required by law, and we do not use it to develop, improve, or train generalized AI or machine-learning models. Microsoft (Outlook) account data — your profile (User.Read) and sending on your behalf (Mail.Send) — is handled on the same basis.

Sharing

We share information only with service providers that help us operate the Service (such as hosting, email delivery, and infrastructure providers) under appropriate confidentiality obligations, or when required by law.

Data retention & security

We retain information for as long as your account is active or as needed to provide the Service and meet legal requirements. We use industry-standard safeguards (encryption in transit, access controls, and audit logging) to protect your data. You may request deletion of your data by contacting us.

Your choices

You can disconnect a connected mailbox at any time from your account settings, and you can revoke Praevora's access to your Google account via your Google Account permissions page.
